Universities and colleges deal with high volumes of incoming mail and parcels, often spread across multiple campuses. The PASS Mailroom system is used in university mailrooms to streamline internal distribution, provide full tracking, and reduce manual effort.
With PASS Mailroom, all incoming mail is recorded as it enters the university. Recipients are automatically notified via email, including collection time slots to help manage foot traffic and maintain social distancing.
When items are collected, proof of delivery is captured using a PDA with a built-in camera—providing a secure, contactless handover with full tracking.
One university installation spans three separate sites, all connected to a central SQL Server over a private internal network. The system allows the central administrator to view mail movement between sites in real time while keeping student groupings local to each campus.
Importantly, due to strict IT policies, the solution is fully self-hosted—no data is stored in the cloud. PASS Mailroom adapted to complex login scenarios including Windows authentication and separate user logins per mailroom.
As students graduate and new arrivals join, the system handles updates centrally. With a bulk import feature, the database is refreshed each year using university-provided student lists—while archiving older data for reference in case of disputes or lost items.
